Why have I received a query email?

Once an application enters the vetting process with the DBS there are several stages it will go through before completing and returning a result. At various points in this process the DBS may raise a query based on the information in the application. Commonly, queries raised by the DBS are related to a discrepancy with existing records for an applicant, whereby they may have previously declared something such as an alternative spelling of their name, a name which has not been declared in the application, different or missing addresses, or incorrect date of birth.  


Other reasons for queries can be for confirmation of what work the applicant is doing with a vulnerable group, confirmation of where their role is taking place, or details of their ID documents amongst other things. 


The DBS will send the query to us which we will in turn pass on to you as the employer to obtain the answer to the query. You will then be required to respond to us via email with this information which we will then pass back to the DBS. If the response is incomplete, we will return the reply and ask for answers to all parts of the query before we will return it to the DBS, this may result in further delays to the application so please be vigilant to provide all requested information. 


Upon receiving a substantive response to the query, this will be emailed back to the DBS for their consideration. If it is confirmed in the information provided on the application form is incorrect, the DBS will not make any amendment to the existing application and it will be withdrawn, with the fee being forfeited. Should you still require a check for this applicant, a new application will need to be submitted.
